We haven't got our own numbers yet. These are the closest published figures we could find, with their limits stated. Chivvy is £40 a month, so it needs to save you about an hour a month to pay for itself.

    Chivvy matches each upload or answer to the item it asked for. Receipts are attached to the transaction, statements are saved to the client's Xero Files, and explanations are recorded against the payment. Anything it can't match is put in front of you with the client's reply alongside.

How Chivvy compares

Do the emails come from me or from Chivvy?

In your name. Emails go out with your name and your practice as the sender, from Chivvy's sending domain, which is authenticated so they land in inboxes rather than spam. Replies come straight back to you. If you'd rather they came from your own email address, you can verify your domain with a couple of DNS records and Chivvy will send from it. Clients see your name and your practice. Chivvy appears only as a footer line on the upload page. They never see a login screen.

Can I check what it sends before it goes?

Yes. Nothing is sent until you've approved the templates for each stage, and you can rewrite them in your own words. You can pause any client, or the whole thing, at any time. When you first connect, Chivvy shows you the full list of what it would ask for and you choose who it starts with.

What does the client actually see?

An email from you and a plain web page with your practice name, the item you need, and buttons to upload a PDF or take a photo. No account, no password, no Chivvy branding beyond a footer line. If they just reply to the email instead, that works too.

What if a client ignores it?

Chivvy sends the next reminder on the schedule you set, using the wording you approved, so each one is a little firmer than the last. If nothing has arrived after the final reminder, the item is flagged on your dashboard so you can pick up the phone. It never chases an item that's already arrived.

Does it only work with Xero?

Yes, for now. Most UK practices we spoke to are on Xero, so that's where we started. QuickBooks Online is next, once the founding practices are live. FreeAgent after that if enough people ask.

I already use Dext or Hubdoc. Do I need this?

Yes, they work together. Dext and Hubdoc process what your client sends you. Chivvy chases what they haven't sent, then hands the result to Xero, where Dext picks it up as usual.

Is it only for UK practices?

Yes, to start. Chivvy is built around how UK practices work: VAT quarters, year-end accounts, and the way UK bank feeds show up in Xero. Data is hosted in the UK, support is on UK hours, and you pay in pounds. If you're outside the UK, email us and we'll tell you honestly whether it would work for you yet.

Is my clients' data safe?

Chivvy reads your Xero to work out what's missing. The only things it writes back are the attachments and explanations your clients send. Data is hosted in the UK and encrypted at rest and in transit. Full security notes are available on request, and your IT person is welcome to ask us anything.

What does £40 a month cover, and what happens after launch?

£40 a month covers your whole practice, however many clients you have, and it stays at £40 for as long as you use Chivvy, whatever new customers pay later. You pay nothing until Chivvy is live and chasing your clients. If it isn't right for you, you stop paying and that's the end of it.
