UploadTake a photo

One tap per item

Every card has an Upload button and a Take a photo button. A clear photo is fine. Each item ticks off as soon as its file is in, and a progress bar shows how much is left.

An item only ticks off with a file, so 'I'm sure I sent that' stops being a conversation.

Several files at once

Clients can drop a pile of receipts in one go. Chivvy works out which file belongs to which item, and asks the client when it can't tell.

Questions come to you

If something's tricky to find, the client can add a comment on the item, and you see it in Chivvy. Your email address is on the page too.

Private without passwords

Each client has their own unguessable link. It lasts 30 days, every chase brings a fresh one, and you can reset it at any time. Repeated guessing is blocked.

For an extra step, turn on email codes: the client confirms a six-digit code sent to their email before the page opens, once per device.

Questions

All questions

What does the client see?

A short email from you listing what's missing, and a page that opens on their phone with your practice name at the top. Each item has an Upload button and a Take a photo button, and they can drop several files at once. There's no account and no password. An item only ticks off when a file is uploaded, so 'I'm sure I sent that' stops being a conversation.

How is the client's upload page kept private?

Each client gets their own unguessable link, which lasts 30 days. Every chase email carries a fresh one, and you can reset a client's link at any time. Repeated guessing is blocked. If you want an extra step, turn on email codes and the client confirms a six-digit code sent to their email before the page opens.

What if they upload the wrong thing?

Chivvy reads the file and checks it against the Xero record: the amount to the penny, the date, and the supplier. If it doesn't line up, the client is told straight away, in plain words, what's wrong, and can upload a different file. If they're sure it's right, they can send it anyway with a note, and it comes to you to decide.
