Questions
Sending and chasing
Do the emails come from me?
Yes. You choose the address on your own domain, and add a few DNS records to your domain once. We show you exactly what to add and can email the instructions to whoever looks after your website. Emails are signed as your domain, so they land in inboxes, and replies come straight back to you.
Can I see what it's going to send, and when?
Yes. Nothing is chased until you approve it. The Chasing page shows every client's progress and the Schedule shows every email still to go out, with the day and time, assuming nobody replies. You can send a client's email straight away or turn chasing off for them.
How often does it chase?
You choose per client: one roundup a week or a month listing everything outstanding, or a rolling rhythm where each item is asked about on its own schedule. You set the days and times it sends, how long to wait before asking and when to stop. After the most emails you allow for an item, Chivvy stops and tells you it's worth a call.
Does it check Xero again before it emails?
Yes. Chivvy reads each client's Xero throughout the day, and checks again just before a chase goes out, so nobody is asked for a receipt that's already been attached.
Your clients
What does the client see?
A short email from you listing what's missing, and a page that opens on their phone with your practice name at the top. Each item has an Upload button and a Take a photo button, and they can drop several files at once. There's no account and no password. An item only ticks off when a file is uploaded, so 'I'm sure I sent that' stops being a conversation.
What if they upload the wrong thing?
Chivvy reads the file and checks it against the Xero record: the amount to the penny, the date, and the supplier. If it doesn't line up, the client is told straight away, in plain words, what's wrong, and can upload a different file. If they're sure it's right, they can send it anyway with a note, and it comes to you to decide.
How is the client's upload page kept private?
Each client gets their own unguessable link, which lasts 30 days. Every chase email carries a fresh one, and you can reset a client's link at any time. Repeated guessing is blocked. If you want an extra step, turn on email codes and the client confirms a six-digit code sent to their email before the page opens.
Xero
Which transactions does it ask about?
Spend money transactions with no attachment and supplier bills with no attachment, over the minimum amount you set for each client. When you first connect a client it looks back over recent months. Transfers between accounts and payments to HMRC are left out. It also asks for bank statements each month or quarter, per bank account, if you want it to.
What does it change in Xero?
Only attachments. Chivvy reads transactions, bills and bank accounts, and the one thing it writes is the file your client sent, attached to the spend transaction, bill or bank account it belongs to. It doesn't reconcile, code or edit anything.
Does it only work with Xero?
Yes, for now. QuickBooks Online is next, once the founding practices are live.
I already use Dext or Hubdoc. Do I need this?
They do different jobs. Dext and Hubdoc process what your clients send you. Chivvy works out what they haven't sent, chases it, checks it and puts it in Xero. Plenty of practices will use both.
AI assistants
How does it work with Claude, ChatGPT or Codex?
Chivvy has an MCP server, the standard way AI assistants connect to other software. Add it in Claude, ChatGPT or Codex, sign in to Chivvy and allow access. Then you can ask who still owes what, approve lists, see the schedule or send a client's email, in plain English. It acts as you, and you can remove access at any time.
Is my clients' data used to train AI?
No. Uploaded files are read by Anthropic's Claude to check them against Xero, under terms that don't allow training on your data. Chivvy doesn't train models either.
Pricing
What does £40 a month cover?
Your whole practice, however many clients you chase and however much it collects, fixed at £40 for as long as you use Chivvy, whatever the plans cost later. You pay nothing until it's live and chasing your clients, and you can stop at any time. The offer is only open for a short time before launch.
How will pricing work after launch?
One price for the whole practice, by how much Chivvy collects for you each month: a receipt, bill or statement that came in and was attached in Xero. Clients and team members are unlimited on every plan. Launch pricing starts at £29 a month and most practices will pay £69. Founding practices stay on £40 whatever they collect.
Stop chasing receipts by hand
Founding practices lock in a pre-launch price of £40 a month. The offer closes soon, and it takes one call to set up.
