What it looks for in Xero
Spend money transactions with no attachment. Card and bank payments to suppliers that have no receipt on them in Xero.
Supplier bills with no attachment. Bills entered in Xero without the supplier's invoice.
Bank statements. Monthly or quarterly, per bank account, if you turn them on for a client.
You set a minimum amount for each client, so it doesn't ask about small change. When a client is first connected it looks back over recent months. Transfers between accounts and payments to HMRC are left out. It reads Xero throughout the day, and again just before a chase goes out, so nobody is asked for something that's already there.
How each upload is checked
Chivvy reads the file the client sends and compares it with the Xero record: the amount to the penny, the date, and the supplier. A receipt in another currency is checked against a sensible exchange rate.
If it matches, it's attached to the spend transaction or bill straight away. Statements go on the bank account.
If it doesn't, the client is told what's wrong in plain words and can upload a different file. If they're sure it's right, they can send it anyway with a note, and it waits for you in Needs a look. You accept it into Xero or send it back with a message.
Built for how practices actually chase
The parts other tools leave to you: checking what arrives, putting it in Xero, and knowing who's been asked what.
Every upload checked against Xero
Amount to the penny, date within weeks, supplier by name. The wrong receipt is turned back on the spot, with the reason. If the client's sure, it comes to you.

Questions about how it works
Do the emails come from me?
Yes. You choose the address on your own domain, and add a few DNS records to your domain once. We show you exactly what to add and can email the instructions to whoever looks after your website. Emails are signed as your domain, so they land in inboxes, and replies come straight back to you.
Can I see what it's going to send, and when?
Yes. Nothing is chased until you approve it. The Chasing page shows every client's progress and the Schedule shows every email still to go out, with the day and time, assuming nobody replies. You can send a client's email straight away or turn chasing off for them.
How often does it chase?
You choose per client: one roundup a week or a month listing everything outstanding, or a rolling rhythm where each item is asked about on its own schedule. You set the days and times it sends, how long to wait before asking and when to stop. After the most emails you allow for an item, Chivvy stops and tells you it's worth a call.
Does it check Xero again before it emails?
Yes. Chivvy reads each client's Xero throughout the day, and checks again just before a chase goes out, so nobody is asked for a receipt that's already been attached.
What does the client see?
A short email from you listing what's missing, and a page that opens on their phone with your practice name at the top. Each item has an Upload button and a Take a photo button, and they can drop several files at once. There's no account and no password. An item only ticks off when a file is uploaded, so 'I'm sure I sent that' stops being a conversation.
What if they upload the wrong thing?
Chivvy reads the file and checks it against the Xero record: the amount to the penny, the date, and the supplier. If it doesn't line up, the client is told straight away, in plain words, what's wrong, and can upload a different file. If they're sure it's right, they can send it anyway with a note, and it comes to you to decide.
How is the client's upload page kept private?
Each client gets their own unguessable link, which lasts 30 days. Every chase email carries a fresh one, and you can reset a client's link at any time. Repeated guessing is blocked. If you want an extra step, turn on email codes and the client confirms a six-digit code sent to their email before the page opens.
Which transactions does it ask about?
Spend money transactions with no attachment and supplier bills with no attachment, over the minimum amount you set for each client. When you first connect a client it looks back over recent months. Transfers between accounts and payments to HMRC are left out. It also asks for bank statements each month or quarter, per bank account, if you want it to.
What does it change in Xero?
Only attachments. Chivvy reads transactions, bills and bank accounts, and the one thing it writes is the file your client sent, attached to the spend transaction, bill or bank account it belongs to. It doesn't reconcile, code or edit anything.
Does it only work with Xero?
Yes, for now. QuickBooks Online is next, once the founding practices are live.
I already use Dext or Hubdoc. Do I need this?
They do different jobs. Dext and Hubdoc process what your clients send you. Chivvy works out what they haven't sent, chases it, checks it and puts it in Xero. Plenty of practices will use both.
Stop chasing receipts by hand
Founding practices lock in a pre-launch price of £40 a month. The offer closes soon, and it takes one call to set up.
