Assumes nobody replies. Anything uploaded drops off, and emails stop once everything's in.

Knows when to stop

Chasing stops as soon as everything's in. If an item has been in the most emails you allow, Chivvy stops asking and tells you it's worth a call.

When emails go out

The rules every chase follows. You set them once for the practice and change them for any client.

Roundups or rolling

A roundup is one email a week or a month, on the day you pick, listing everything outstanding, with follow-up nudges if you want them. Rolling sends soon after you approve, then a reminder every few days. Set it for the practice, and change it for any client.

Within your hours

Emails only go out on the days and at the times you choose, never in the evening.

Give clients a chance first

A receipt or bill is only asked for once the transaction is a few days old, because clients often upload them to Xero themselves. Statements are asked for straight away.

Never too many

A client never gets two emails in the same day, and nudges never land on top of another email. Items approved between roundups wait for the next one rather than starting a new email.

Knows when to stop

Each email lists only what's still missing, after a fresh look at Xero. Once an item has been in the most emails you allow, Chivvy stops asking about it and flags it as worth a call. Everything else carries on.

You can always step in

The schedule shows every email still to go out, by day and time. Send a client's email now, or turn chasing off for them, at any time.

Questions

All questions

Do the emails come from me?

Yes. You choose the address on your own domain, and add a few DNS records to your domain once. We show you exactly what to add and can email the instructions to whoever looks after your website. Emails are signed as your domain, so they land in inboxes, and replies come straight back to you.

Can I see what it's going to send, and when?

Yes. Nothing is chased until you approve it. The Chasing page shows every client's progress and the Schedule shows every email still to go out, with the day and time, assuming nobody replies. You can send a client's email straight away or turn chasing off for them.

How often does it chase?

You choose per client: one roundup a week or a month listing everything outstanding, or a rolling rhythm where each item is asked about on its own schedule. You set the days and times it sends, how long to wait before asking and when to stop. After the most emails you allow for an item, Chivvy stops and tells you it's worth a call.
